Who are we and what do we do
Gateshead Council is a designated Lead Authority for the UK Community Renewal Fund. We run a bidding process for funding. We are a joint data controller with the Ministry for Housing, Communities and Local Government (MHCLG) for the UK Community Renewal Fund.

What type of information is collected about you
We collect personal information from organisations submitting applications to the fund. As set out in the UK Community Renewal Fund application form, this includes contact details, such as name, address, email and telephone number.

- bid manager name and position
- charity registration number
- company registration number
- name and position of officer with day-to-day responsibility for delivering the project
- Senior Responsible Officer (SRO) contact details
How we collect information about you
We collect personal data as an essential part of the UK Community Renewal Fund bidding process. We collect information about you from various sources to ensure that we meet your needs, including:

Why we need your information
Our purpose for collecting personal information is to enable us to:
- contact you about the application process and any applications you submit
- evaluate your applications
- shortlist applications
- enter into funding agreements with successful projects
- monitor and evaluate project delivery and impact on beneficiaries
The lawful basis for our processing is:
- consent
- performance of a contract to which data subject is party
Who your information can be shared with
Our Corporate Privacy notice explains information sharing the Council carries out. This sharing fulfils statutory obligations, legal requirements and service delivery.
For the the UK Community Renewal Fund we may share your personal data with:
- Ministry for Housing Communities and Local Government (MHCLG)
- regulatory and statutory bodies who assess performance and financial spend
- those preventing and detect crime or fraudulent activity (where required by law)
MHCLG may need to share your personal data with other Government departments (such as the Department for Work and Pensions). They may also share information with departments in the Devolved Administrations.

How long we will keep your information
We will hold your personal data for the duration of the UK Community Renewal Fund programme and six years after its closure. We may also need to keep your information in accordance with legal or other obligations. Where we have no need to keep your data it will be securely destroyed. We keep a Record of Processing Activity (a requirement under the GDPR). This sets out the specific retention periods applicable in different circumstances.
