E-Learning Privacy Notice

Who we are and what we do

E-Learning is part of Gateshead Council. We are based at the Civic Centre, Gateshead. We provide the following services to schools: 

School website services including: 

  • email and telephone support  
  • domain name registration, domain name system management and renewal  
  • hosting and maintenance including audit logging, backup, malware anti-virus protection and security updates  
  • new site building or re-design  
  • simple WordPress based administration tools 
  • responsive layout - designed for PC's, tablets, and mobile devices 
  • remote publishing on the WordPress app via phone/iPad 

E-Schools communication and administration tools: 

  • procurement of a school learning platform via eschools.co.uk 

This privacy notice provides specific information about how we process your personal data. It is an addition to the information contained in our Corporate privacy notice. We are a data processor acting on the instructions of the school who is the data controller. You should also refer to the data controller's privacy notice.

We collect personal information to understand your needs and provide services. Information may include: 

  • email address  
  • IP address  
  • name  
  • place of work  
  • unique website session identifiers  

How we collect information about you  

We collect information about you from various sources to ensure that we meet your needs, including: 

  • by email or telephone contact  
  • from your school 
  • using cookies

Why we need your information  

Our purpose for collecting personal information, on behalf of schools and other organisations is to: 

  • enable the operation of websites  
  • register and renew domain names  

The lawful basis for our processing is determined by the data controller who instructs us.  

Who your information can be shared with  

Where we are acting as a data processor and sharing your information with other controllers, the receiving parties and lawful basis for doing so will be determined by the data controller (the school). 

We may also share your information with third party service provides working on our behalf as data processors such as IT systems or specialist software providers.  

How long we will keep your information  

We keep your information for as long as we need to provide services to you. We may also need to keep your information in accordance with legal or other obligations. Where we have no need to keep your data it will be securely destroyed. We keep a Record of Processing Activity (a requirement under the GDPR). This sets out the specific retention periods applicable in different circumstances. For more information, please contact the data controller (school). 

Where your information is held  

Information related to school websites are held on dedicated data centre servers within the UK.  

Information related to E-Schools Communication and Administration Tools are held within the UK by E-Schools Limited.   

How you can update your information  

Our delivery of efficient services depends on the accuracy of your information. 

Please inform us of any changes to the following: 

  • email address 
  • personal circumstances 
  • postal address 
  • any of the other information we hold
