Careers information advice and guidance (IAG) Privacy Notice
Who are we and what do we do
Careers information advice and guidance (IAG) is part of Gateshead Council. We are based at the Civic Centre, Gateshead. We provide the following services:
For learners with education and healthcare plans (EHCP) we:
- annually attend and contribute to the ECHP review for year 11 and 13 learners
- liaise with SENCO or a guardian to discuss their options
- meet with all learners that are on an EHCP in mainstream and special schools
- conduct two career interviews per academic year (usually October and March) with additional meetings arranged depending upon individuals need
For those not in education, employment or training (NEET) mainstream:
- we contact all NEET young people to offer careers guidance
- we offer guidance to lapsed Employment Education Training (EET) young people, check their status and offer support if they are now NEET
- we liaise with partner organisations to offer opportunities for NEET young people
- the CIAG team man drop-in advice sessions for NEET young people (duty appointments) two days per week
Home educated
we offer careers support/home visits to all our home educated young people in the Gateshead area
Look after children (LAC) learners
the manager attends monthly LAC meeting to discuss current LAC cohort and agree IAG intervention
our advisors will attend personal education plan (PEP) and CTM meetings to offer support
This privacy notice provides specific information about how we process your personal data. It is an addition to the information contained in our Corporate privacy notice.
What type of information is collected about you
We collect personal information to understand your needs and provide services. Information may include:
- personal identifiers and contacts (such as name, date of birth, unique pupil number, contact details and address)
- parental/guardian information such as name, address and contacts details
- ethnicity
- sexuality
- health information
- aspirations and intentions for post 16 provision
- data management and identity management/authentication with education providers
- data returns to the DfE including those young people taking up apprenticeship and work based learning opportunities
- intended destinations and offer of post 16 provision (as part of the annual September guarantee as reported to the Department of Education (DfE))
- looked after status (including the needs and ranking)
- notes of all relevant contact with a personal adviser
- qualifications type
- status and provision in place for post 16 young people (in relation to the annual activity survey) SEN
- the target, predicted, and actual grades achieved
- health information
- SEN
How we collect information about you
We collect information about you from various sources to ensure that we meet your needs, including:
- census
- education providers
- education Gateshead
- young people and their families
Pupil data is essential for Careers IAG operational use. Whilst most of the pupil information you provide to us is mandatory, some can be requested on a voluntary basis. To comply with the data protection legislation, we will inform you at the point of collection, whether the pupil information is mandatory or not.
Why we need your information
Under the Education Act 1996 and the Education and Skills Act 2008 local authorities have statutory responsibilities to capture the destination of young people after leaving school and retain a strategic overview of provision available.
Our purpose for collecting personal information is to enable us to:
- assess the quality of our services
- communicate with families to capture destination information
- keep children safe (emergency contact details)
- support pupil learning and inform decisions around post 16 options
- monitor and report on pupil attainment progress, identify and target those deemed as potentially at risk of becoming NEET
- to meet the statutory duties placed upon us for DfE data collections
The lawful basis for our processing is:
- Legal obligation to which the data controller is subject (Education and Skills Act 2008 (ESA 2008))
- the Education Act 1996
- Children and Families Act 2014
Our lawful basis for processing of sensitive personal data is:
- reasons of substantial public interest (with a basis in law)
The legislation the service is obliged to comply with includes:
Education and Skills Act 2008 (ESA 2008) and your consent is not required.
Who your information can be shared with
Our Corporate privacy notice explains information sharing the Council carries out. This sharing fulfils statutory obligations, legal requirements and service delivery. Careers information advice and guidance (IAG) can share your information with:
- external youth support services and alternative or out of borough education providers for pupils aged 13+
- our local authority partners in education, children and family service and the early help service
- neighboring local authorities where pupils reside and are educated in differing locals and or families relocate
- schools that the pupils have attended
- the Department for Education (DfE)
Our lawful basis for sharing this data is legal obligation or task in the public interest. Your consent is not required.
If we wish to share your information with other council services or third parties for purposes outside of those listed above we will ask your permission.
How long we will keep your information
We keep your information for as long as we need to provide services to you. We may also need to keep your information in accordance with legal or other obligations. Where we have no need to keep your data it will be securely destroyed. We keep a Record of Processing Activity (a requirement under the GDPR).
