Bereavement Services Privacy Notice

Who we are and what we do

Bereavement Services is part of Gateshead Council. We are based at the Civic Centre, Gateshead. We provide the following services:   

  • the administration of all activities relating to the cemeteries and crematoria in Gateshead, the Book of Remembrance and all historical records relating to the cemeteries 

This privacy notice provides specific information about how we process your personal data. It is an addition to the information contained in our Corporate privacy notice.   

What type of information is collected about you  

We collect personal information to understand your needs and provide services. Information may include: 

  • name of deceased, date of birth, age, occupation, marital status 
  • date of death, cause of death, place of death 
  • name, address, telephone & email details of applicant, signature of applicant 
  • name and contact details of doctor 
  • funeral director details 
  • race or ethnic origin 
  • religious or philosophical beliefs 

How we collect information about you  

We collect information about you from various sources, including: 

  • through the application forms completed by you  
  • from forms completed by funeral directors sent to us directly with the information you provided 

Why we need your information  

Our purpose for collecting your personal data is for the processing of your funeral request within the Borough of Gateshead and the lawful basis for our processing is:  

  • task in the public interest or in exercise of official authority 

Who your information can be shared with  

Our Corporate Privacy notice explains information sharing the Council carries out. This sharing fulfils statutory obligations, legal requirements and service delivery. 

If we wish to share your information with other council services or third parties for purposes outside of those listed above we will ask your permission.   

How long we will keep your information  

We keep your information for as long as we need to provide services to you. We may also need to keep your information in accordance with legal or other obligations. Where we have no need to keep your data it will be securely destroyed. We keep a Record of Processing Activity (a requirement under the GDPR). Where your information is held 

Paper copies of information are held at the Bereavement Services offices in fire safe locked filing cabinets. information is held electronically on our systems on Gateshead Council computer servers, or BACAS (Burial And Cremation Administration Service) which is a third party partner on cloud hosted systems based in UK data centres. 

How you can update your information  

Our delivery of efficient services depends on the accuracy of your information.
