Why we need your information

The information we collect from you and the information provided to us by Government departments such as the Department for Education, Department for Work and Pensions or HM Revenues and Customs (HMRC), or by your child's school is required for the calculation of entitlement to free school meals.

In order to calculate entitlement, we collect information about, you, your partner and your children that live in your household.

This information includes; name, address, email address, telephone number, date of birth, National Insurance Number, earned income, benefits and allowances, your child's name, date of birth and school, immigration details and any other information required to calculate entitlement to free school meals.

How information about you will be used

We use the information you provide to administer free school meals under Section 512 of the Education Act 1996 and in accordance with the School and Early Years Finance (England) Regulations 2018 and other associated Regulations.

We use the Department for Educations Eligibility Checking Service to establish your eligibility to free school meals for your child(ren).

We have a duty to protect public funds we administer and may use the information held about you for all lawful purposes, including and not limited to the prevention and detection of fraud, disclosure of information to the police, matching council tax data with electoral registration records and protecting public funds in investigating misuse of public money.

The information we hold, including details of any state benefits you may get, will be shared to help with an application for one of the following council services:

  • Housing Benefit
  • Local Council Tax Support
  • Help with School travel through the Council's free school transport scheme

 

Additionally, the information held by the council as part of your free school meals application can be shared with and used by other council services to identify other support and help that may be available.

Who your information may be shared with - internally and externally

By law we must give out some information if we are asked. Organisations to whom we are required to provide information include (but are not limited to) the Department for Work and Pensions (DWP), the Department for Education or HM Revenue & Customs (HMRC).

We will also use the information for the purpose of performing any of our statutory duties. We will make any disclosures required by law and may also share this information with other bodies responsible for detecting/preventing fraud or auditing/administering public funds. We may share the details with other organisations that handle public funds and assist in the processing of other benefits.

We can share information collected as part of your application for free school meals with other departments in the Council, schools, other Local Authorities, and any other part of the Council for the purposes of fulfilling its statutory functions. The information on your free school meals application may also allow us or other internal or external organisations mentioned, to identify other support and help that may be available.

How long we keep your information

We use the information you provide to administer free school meals under Section 512 of the Education Act 1996 in accordance with the School and Early Years Finance (England) Regulations 2018 and other associated Regulations.

We are legally required to hold some types of information to comply with statutory requirements. We will hold your personal information on our systems for as long as it is necessary for the relevant activity or service that we provide you, or as required by law.
